Financial spreading example: audited PDF statements to a tied-out Excel spread

A credit analyst spreads three years of audited statements for a fictional data center operator from PE Bench, from PDF into Excel, with every line cited and tied out, one step at a time in Compound.

Short answer

Financial spreading is copying a company's financial statements into a standard Excel template, line by line, so they can be analyzed and compared. On Ironvale, a fictional data center operator from PE Bench, Compound spread the FY23 to FY25 audited statements from PDF as reported, cited every figure to its page and mapped every line to a standard chart of accounts. All 28 tie-out checks pass and nothing was restated: FY25 revenue is $412.0M, NOI $246.6M and the net loss $2.1M.

Ask: “Spread the FY23 to FY25 audited statements from PDF into Excel as reported, cite every figure to its page and tie it all out.” The tie-out status by check group from a real Compound run, unedited. Ironvale is a fictional company from PE Bench's open data room.

You are the credit analyst on a new name, or the associate on the deal team. The data room for Ironvale Digital Infrastructure, a US data center operator, holds three audited financial statements as PDFs: FY23 (document 2.01), FY24 (2.02) and FY25 (2.03). Beside them sit management’s consolidated statements in Excel (2.04) and scanned signed copies of each audit (2.10 to 2.12).

Before anyone builds a model, writes a credit memo or retests the seller’s quality of earnings, someone has to spread those statements: every line into Excel, as reported, and proven right. This page takes that one step at a time, each step run in Compound. The answer at the end: all 28 tie-out checks pass, nothing was restated, and the four open points are presentation and scope, none of which moves a figure.

Financial spreading is copying a company’s income statement, balance sheet and cash flow statement into a standard template, so that years and companies can be compared and modeled. Lenders spread every borrower’s statements before underwriting and again at each covenant test. Buyers spread the target’s statements before the diligence starts.

A PDF to Excel converter and a spread are different deliverables. A converter copies the tables it can see and leaves you to check them. A spread puts every line into a standard chart of accounts, cites every figure to its page, and carries checks that prove the subtotals foot, the balance sheet balances and each year agrees with the next year’s comparatives. A converter cannot tell you whether a copied number is right. The checks can.

Ironvale Digital Infrastructure and Project Voltaic are fictional: the company and its data room are the open data room of PE Bench, published under CC-BY-4.0. Everything Compound produced on this page is real: the workbook and slide come from one Compound run on that room, quoted unedited apart from excerpts.

How to spread financial statements from PDF into Excel

The first step copies each statement into Excel exactly as printed, one row per line, with every figure cited to its PDF page.

Prompt“Spread [company]'s audited financial statements for the last three years into Excel, as reported. One tab each for the income statement, balance sheet and cash flow statement, every figure cited to its PDF page and every line mapped to a standard chart of accounts. Do not adjust or restate anything.”

Compound's IS tab, US$ millions, fiscal years ended December 31, unedited apart from dropping the standard account name and the three source columns. Each figure cites its page, such as 2.03 Audited FS FY25 p.4.

The balance sheet and cash flow tabs follow the same layout, 61 lines in all. Subtotals are typed in as reported rather than calculated, which is what lets the next step test them. Each line also carries a standard account code, and the CoA Map tab adds the lines up by code, so Ironvale’s “Lease & colocation revenue” sits in the same row as any other company’s rental revenue.

A spread stops at the audited lines. FY25 NOI of $246.6M less $33.8M of G&A is $212.8M of EBITDA before other income. The seller’s adjusted EBITDA and the buyer’s view of it are a separate exercise, set out in the financial due diligence example.

Takeaway: the spread is the audited statements line for line, every figure cited, and the next question is whether those figures are right.

Tie-out checks: does the spread prove itself?

The second step recomputes every subtotal and every link between the statements, and sets the reported figure beside the recomputed one.

Prompt“Add a Checks tab to the [company] spread. Foot every subtotal, check that the balance sheet balances, tie cash, net income, D&A and equity across the three statements, and confirm the mapped lines rebuild every total. Show the reported figure, the recomputed figure and the difference for each year.”

Nine of the 28 checks in Compound's Checks tab, FY25 columns, US$ millions, unedited apart from the excerpt. The tab carries the same three columns for FY23 and FY24.

The 28 checks fall into six groups: 13 subtotals that foot, the balance sheet balancing, five cash and cross-statement ties, four checks that the mapped lines rebuild every total, three against the next year’s statements and two against the FS Excel and the signed copies. Closing cash on the cash flow statement agrees to balance sheet cash in all three years, and FY24 and FY25 opening cash agree to the prior year. Each status cell reads “Ties” only when every difference rounds to zero at one decimal, so a broken link shows up the moment a figure changes.

Takeaway: all 28 checks tie, so the spread is internally consistent. A spread can be consistent and still out of date, so did any year get restated?

Restatement check: each year against the next year’s comparatives

The third step sets each year’s audited figures against the comparatives printed in the following year’s statements, and against management’s Excel.

Prompt“Check whether any year of [company]'s statements was restated. Compare each year's audited figures with the comparative column in the next year's statements, line by line, and compare the spread with management's Excel statements and the signed copies. List every difference and say whether it changes a figure.”

Seven of the 61 lines in Compound's Recon tab, US$ millions, unedited apart from the excerpt. A difference of zero means the second source agrees with the audited figure.

The FY25 statements repeat all 61 FY24 lines unchanged, and the FY25 audit report says the comparatives are consistent with the FY24 audited statements. FY23 needs another route, because the FY24 statements show one year only. Compound tied it to the FY23 column of Schedule I in the FY25 statements, ten lines, and to the $695.3M of opening equity in the FY25 equity statement. Management’s Excel agrees with the audited PDFs on every figure, and the scanned signed copies carry the same numbers.

Takeaway: nothing was restated and management’s Excel matches, but the audited PDF stays the source. What is left open?

What did not tie, and what the room cannot test

The last step lists every point the checks left open, and none of them moves a figure.

FS Excel drops part of the AP label

Presentation

The payables line in 2.04 leaves out “(incl. construction)”. The amounts, 52.4, 74.0 and 96.3, agree in every year.

FY23 construction draws left blank

Presentation

The FY23 audited cash flow shows the line blank where the Excel shows 0.0. There was no FY23 draw either way.

FY23 opening balances have no FY22 support

Not testable

The room holds no FY22 balance sheet, so FY23 opening cash of $52.0M and opening equity cannot be tied.

The signed FY25 audit report is shorter

Wording

The signed copy leaves out the sentence on comparatives being consistent. Every figure is identical.

The untestable openings are the one item worth a request. If the FY23 opening figures matter to your analysis, ask for the FY22 audited balance sheet, or take the FY23 statements as the start of the record. Compound put the spread, the checks and the four open points on one slide.

Compound's one-page Ironvale slide headlined 'Audited FY23-FY25 statements spread cleanly: all 28 checks tie'. On the left, the spread as reported in US$ millions for FY23, FY24 and FY25: total revenue 268.0, 332.0 and 412.0, NOI 156.0, 196.0 and 246.6, net loss 16.4, 8.9 and 2.1, total assets, members' equity, operating cash flow, capital expenditures, distributions and closing cash. On the right, six check groups each marked Ties: subtotals 13 of 13, balance sheet 1 of 1, cash and cross-statement 5 of 5, chart of accounts 4 of 4, next year's comparatives 3 of 3, FS Excel and signed copies 2 of 2. Below, four open points labeled presentation, not testable or wording. A footer labels Ironvale a fictional company from PE Bench.
The slide from the same run, unedited. It shows the spread, a “Ties” chip for each check group and the four open points, none of which moves a figure.

From here the spread is the base for the work that does change numbers: the add-backs on the adjusted EBITDA example and a forecast in a three-statement model. Because the as-reported spread is kept separate, every adjustment made later can be traced back to an audited line.

Takeaway: the spread ties, nothing was restated, and the only gap is FY23’s opening balances, which no document in the room can support.

FAQ

How is financial spreading different from a PDF to Excel converter?
A converter copies the tables on a page into cells, and you still have to check every number and arrange it yourself. A spread puts every line into a standard chart of accounts, cites each figure to the page it came from and proves itself with checks: subtotals foot, the balance sheet balances, cash and net income tie across statements, and each year agrees with the next year’s comparatives. On this example that is 28 checks, all of which tie.
Should a spread be as reported or adjusted?
As reported first. The spread should match the audited statements line for line, so anyone can tie it back to the PDF. Adjustments such as add-backs, reclassifications or pro forma changes go in a separate layer that starts from the reported figures, so each one stays visible and can be argued on its own.
How do you check a spread for a restatement?
Compare each year’s figures with the comparative column printed in the next year’s statements, line by line. Any difference means the company restated or reclassified that year, and the later statements should explain it in a note. If a year has no later comparatives, as FY23 does here, tie it to any multi-year schedule and to the opening balances of the next year’s equity statement.
Can Compound spread scanned or signed PDF statements?
Yes. Compound reads native and scanned PDFs, including the tables in them. In this example it read the scanned signed copies of all three audits and checked their key lines against the spread. Every figure it reports cites its document and page, so a reviewer can check it.
Can the spread follow our own template and chart of accounts?
Yes. Give Compound your spreading template or chart of accounts and it maps each reported line to your codes, as the CoA Map tab does here with a standard chart. The mapping checks then confirm that the mapped lines still rebuild every reported total.
What is financial spreading used for in credit?
Lenders spread a borrower’s statements to underwrite a loan, compute leverage and coverage ratios and test covenants each period. A consistent spread lets an analyst compare the borrower with itself over time and with other borrowers on the same chart of accounts.
